Coordinator, Talent Eligibility and Acquisition
JOB SUMMARY
The Talent Eligibility and Acquisition Coordinator, supervises staff and monitors pre-employment eligibility processes, specifically fingerprinting, criminal background checks, drug testing and Form I-9 for all full-time and part-time candidates selected for hire.
Assists Talent Acquisition (TA) Manager with preserving HCC’s Compliance Standards with all state and federal employment laws, Commission on Colleges of the Southern Association of Colleges and Schools (SACSCOC), Texas Education Agency rules and regulations and HCC Policy and Procedures.
ESSENTIAL FUNCTIONS
Maintain data and results from fingerprinting, drug testing, criminal background checks, employment eligibility and visa terms.
Engage in communication with state and federal agencies to stay current on all revisions to policies and laws associated with the Employment Eligibility form and requirements, including visas.
Coordinate and monitor scheduling of pre-employment tests, collection of results, preparation, handling and communication of non-approved results to supervisors.
Analyze fingerprints and criminal background checks to meet HCC’s employment standards as well as Texas Education Agency’s District guidelines.
Forward all non-compliant fingerprinting, drug testing and/or employment eligibility issues or results to the AVC, Talent Acquisition & Performance and established Review Committee.
Ensure accuracy of information for fingerprinting and drug testing authorization, including vendor phone numbers and locations.
Coordinate billing records and monitors account balances for accounts with fingerprint and drug testing vendors and notifies TA Manager if balance falls below escrow minimum.
Maintain strict confidentiality of all data and information administered under the duties of this position.
Routinely engages in communication with State/Federal agencies to stay current on all revisions to policies and laws associated with the Employment Eligibility form and requirements, including visas.
Notifies the TA Manager immediately of any changes to the forms, laws, etc. Conduct presentations to internal employees regarding eligibility and compliance topics that affect both the full-time and part-time hiring process.
Ensure accuracy of employee’s Pre-Employment Fingerprint and Drug Test.
Supervise Talent Acquisition Specialists completing Form I-9 and pre-employment tests processes and functions.
Perform other duties, tasks and assignments as required.
QUALIFICATIONS
Education & Experience
- Bachelor’s degree in Human Resources or related field
- 3 years’ experience in administration and adjudication of pre-employment testing
- Experience in an academic or governmental setting preferred
Licensing & Certification
- Valid Texas Driver License

Working Conditions
General Office. Must be able to perform all job requirements with or without reasonable accommodations; remain in a stationary position during shift; move items weighing up to 25 pounds; position self to operate job equipment; apply established protocols in a timely manner. Must access, input and retrieve information from technology devices; communicate with others to accomplish job requirements. May be required to work after hours to include weekends and holidays.
